TERMS AND CONDITIONS OF BOOKING

Please read the following Terms and Conditions carefully before making a booking with Asante Journeys. By making a reservation and paying a deposit, you (the client) confirm that you have read, understood, and agree to be bound by these Terms and Conditions on behalf of yourself and all members of your travelling party.
A booking is confirmed once Asante Journeys has received a completed booking form (or written confirmation via email) together with the required deposit as outlined in Section 2. Until both are received, no reservation is held and availability cannot be guaranteed.
Upon receipt of the deposit and booking form, Asante Journeys will issue a written booking confirmation detailing your itinerary, travel dates, and the balance due date. It is the client’s responsibility to review this confirmation and notify us of any discrepancies within 48 hours of receipt.
All bookings are subject to availability at the time of confirmation. Asante Journeys reserves the right to decline a booking at its discretion.
Deposit:30% non-refundable deposit is required at the time of booking to secure your reservation. This deposit is applied toward the total cost of your journey.
A non-refundable deposit of 30% of the total tour cost is due at the time of booking. No reservation will be held without receipt of this deposit.
BalancePayment:The remaining balance (70% of the total tour cost) is due in full no later than 90 days prior to your scheduled arrival date. Failure to remit the balance by this date may result in cancellation of your reservation without refund of the deposit paid.
LateBookings:If a booking is made within 90 days of the arrival date, the full 100% of the tour cost is payable at the time of booking.
Currency&Fees:All prices are quoted in the currency stated on your invoice. Bank transfer fees, currency conversion charges, and any other transaction costs are the sole responsibility of the client. Payment is accepted by bank transfer or such other methods as agreed in writing with Asante Journeys.
Comprehensive travel insurance is mandatory for all clients travelling with Asante Journeys. Proof of valid travel insurance must be provided to Asante Journeys no later than 30 days prior to departure.
All clients must hold a comprehensive travel insurance policy for the full duration of their journey. At a minimum, your policy must cover:
Asante Journeys accepts no liability for any loss, cost, or expense that would have been covered by adequate travel insurance. We strongly recommend obtaining a policy that includes ‘cancel for any reason’ coverage. The choice of insurer remains at the client’s discretion.
4.CANCELLATION POLICY
All cancellations must be submitted in writing (by email) to Asante Journeys. Cancellations take effect on the date the written notice is received. The following cancellation fees apply, calculated as a percentage of the total tour cost:

Cancellation fees may be partially recoverable through your travel insurance policy. We strongly encourage clients to review their insurance coverage in the event of cancellation.
Asante Journeys endeavours to operate all journeys as advertised. However, we reserve the right to make changes to an itinerary at any time before or during travel where circumstances beyond our reasonable control require us to do so. Such changes may include, but are not limited to, alterations to accommodation, activities, routing, or timing.
Where a significant change is made prior to departure, Asante Journeys will notify the client as promptly as possible. A “significant change” is one that materially alters the character of your journey. In such cases, the client may choose to:
Minor changes (such as substituting an activity of similar quality or adjusting timings) do not entitle the client to a refund or cancellation without penalty. Asante Journeys is not responsible for any additional
costs incurred by the client as a result of itinerary changes, including but not limited to flight changes or accommodation costs.
Asante Journeys shall not be liable for any failure or delay in performing its obligations where such failure or delay results from circumstances beyond our reasonable control (“Force Majeure Events”). Force Majeure Events include, but are not limited to:
In the event of a Force Majeure Event, Asante Journeys will use reasonable endeavours to minimise disruption to your journey and to offer alternative arrangements where practicable. We cannot, however, guarantee refunds of costs already committed to third-party suppliers (airlines, lodges, parks, etc.). Comprehensive travel insurance is the primary recourse available to clients in such situations.
Asante Journeys acts as a tour operator and, where applicable, as an agent for independent third-party suppliers including airlines, lodges, ground operators, guides, and activity providers. While we take great care in selecting our partners, we cannot accept responsibility for the acts or omissions of third-party suppliers.
Asante Journeys’ total liability to a client, whether in contract, tort (including negligence), breach of statutory duty, or otherwise, shall not exceed the total amount paid by the client for the relevant booking.
Asante Journeys shall not be liable for any indirect, consequential, or special losses, including but not limited to loss of enjoyment, lost profits, or costs associated with alternative travel arrangements, unless such loss arises from our wilful misconduct or gross negligence.
Nothing in these Terms and Conditions limits or excludes liability for death or personal injury caused by Asante Journeys’ negligence, or for fraud or fraudulent misrepresentation, or for any other liability that cannot be limited or excluded by applicable law.
It is the client’s responsibility to ensure that all members of the travelling party hold valid passports (with a minimum of six months’ validity beyond the return date), the required visas, vaccinations, and any other entry documentation required for the countries to be visited.
Clients are responsible for disclosing any medical conditions, dietary requirements, or mobility limitations that may affect their ability to participate in the planned itinerary. Asante Journeys will make reasonable efforts to accommodate such requirements but cannot guarantee that all activities will be accessible to every client.
Clients agree to conduct themselves in a respectful manner toward fellow travellers, Asante Journeys staff, local communities, and wildlife. Asante Journeys reserves the right to remove from the tour any client whose conduct is deemed disruptive or unsafe, without refund.
Asante Journeys collects and processes personal data provided by clients for the purpose of fulfilling the booking contract and communicating relevant travel information. We will not sell or share your personal data with third parties except where necessary to operate your journey (e.g., sharing details with accommodation providers or local guides). These Terms and Conditions are governed by and construed in accordance with applicable law. In the event of a dispute, both parties agree to first seek resolution through good-faith negotiation. If a resolution cannot be reached, the matter may be referred to mediation or such other dispute resolution mechanism as agreed between the parties.
If you have a complaint during your journey, please bring it to the attention of your guide or Asante Journeys representative as soon as possible so that we may address it promptly. Complaints received after your return that were not raised during the journey may be more difficult to resolve.
ACKNOWLEDGEMENT OF TERMS AND CONDITIONS
By paying the deposit, the client confirms they have read, understood, and acceptedthese Terms and Conditions in full on behalf of all members of their travelling party.
